To acquire security clearance to use the program, you should log on. This process is normally done automatically upon program startup. A window will appear asking for a password. Enter your password to obtain access to the system.
If the program is already in operation, choose Logoff from the File menu first to log off the previous user. Then, choose Logon Access from the File menu and enter your password.
Passwords can be modified through the Administration » Security menu item. Simply open the security window, click
in the toolbar and change the password.
Each employee entered will have their own entry, with the first four letters of their last name as a password. Be certain that every employee and administrator personalize their password as soon as possible.
If the program does not allow access to the Security menu item, then contact your site administrator.
At the end of all toolbars is a button with a red X on it (
). Click this button to dismiss the toolbar.
1 First, choose Open Data File from the File menu. This will bring up the Select data file dialog box.
2 Select the new data file to use from this list.
In addition, you can create a new data file by clicking the New Data File button. If you do so, a new dialog will appear asking you to name the new data file.
3 Click OK in the dialog box to select the new data file.
The following are certain settings in the program that should be entered before the system is brought on-line.
All these settings can be found in the Administration » Configuration » Setup and Administration » Configuration » Special menus and sub-menus. Please note that certain data other than that described here (such as patient records, vendor information and ledger information) should also be entered prior to using the program. However, all the settings that follow would be defined as settings that need only be entered once, and are grouped here so that they can be set up. |
1 Choose Administration » Procedure Codes » Procedure List. This bring up the Procedure Codes window.
2 In the Procedure Codes list window, double-click on the list to bring up the CDA Procedure Code Entry window.
3 From here, click on the
button in the toolbar to enter new procedure.
4 Enter the procedure's code number under Code. The code entered will serve to identify the procedure in invoices and when tabulating them.
5 Choose a fee guide from the Fee Guide field. The procedure will be listed under this guide.
6 Enter a description under the Description field.
7 Enter the procedure's R and T values in the Price portion. The procedure's price can be entered manually into the Fee field, or it can be calculated from the procedure's R and T values.
8 In the Options portion, check all applicable options for the procedure. The Recall check box indicates that this procedure will be a recall procedure. This means that every time it is performed, another appointment for it will be automatically set up in the patient's recall entry. The Fast List check box will determine whether this procedure will show up under a Fast List.
9 When done, click
in the toolbar to save your changes.
1 To enter a new dentist's profile into the program, choose Administration » Staff » Dentists. This will open up the Dentist Information window.
2 Click
in the toolbar.
3 Enter the dentist's personal information into the various fields.
4 Click
in the toolbar to finalize your changes.
1 Choose Administration » Staff » Employees. This will open up the Employee Information window.
2 Click
in the toolbar.
3 Enter the employee's personal information into the fields provided.
4 Enter any notes about the employee into the field on the bottom.
5 Click
when done to save your changes.
Note that these steps must be completed before entering wage information. Once the employee's record has been entered and confirmed, click on the Salary button to set the salary for this employee.
1 Choose Administration » Staff » Employees to bring up the Employee Information window.
2 In the Employee Information window, use the Previous or Next arrows to scroll to the appropriate employee record.
3 Click on the Salary button.
This will bring up the salary entry window.
4 Click on the
button in this window to modify the record.
5 Under Pay Preferences, set the method of determining wages: hourly will pay based upon the number of hours worked by the employee at a fixed rate per hour, and salary will simply pay a fixed salary after each pay period.
6 Set the period of payment under Period. This will set how often the employee is paid.
7 Set the tax table under the Table option. This table will be used to calculate the tax on the employee's pay.
8 The pay rate per hour or per period is entered in the per pay period/hour field at the top right corner. Overtime pay rates can be entered in the field marked, overtime.
9 Enter deductions under the Deductions portion of the window. The program will automatically calculate the deductions on the salary payments based on these entries.
10 Check the Vacation option to indicate that the employee receives vacation pay.
11 Enter the dates for which this salary rate is effective into the Start Date and Finish fields.
12 Click
to save your changes.
1 Choose Letters under the Administration sub-menu. This will create the Letters menu in the menu bar.
2 Under the Letters menu, choose Letter Template.
This opens up the Letter Template entry window.
3 Click
in the toolbar.
4 Enter the title of the letter in the Title field.
5 Set the font, size, style and margins in the Parameters field.
6 Type the message in the Body field. This text will appear in every letter sent with this template.
Note that it is not necessary to include a date or salutations. This is done automatically when letter template are set to print.
7 Click
in the toolbar to save your changes.
1 Under the Administration sub-menu, choose Referring Dentists.
This will create the Referral menu in the menu bar.
2 Choose Dentists from this menu to display the referral list.
3 Double-click in the list to display the Referring Dentist editing window.
4 Click
in the toolbar.
5 Enter the information into the various fields.
6 Click on
in the toolbar to finalize your changes.
1 To restrict access to certain users, choose Administration » Security. This brings up the Security window.
2 Click
in the toolbar.
3 In the list, place the insertion point in the password field of the last entry in the list and press tab. This will create a new entry.
4 Type in the name and password.
5 Click
in the toolbar. The program will acknowledge the new user's name and password.
1 Choose Administration » Configuration » Setup » Fee Guides. This will bring up the fee guide list.
2 Click
in the toolbar.
3 Enter the fee guide's name.
4 Click

1 Choose Administration » Configuration » Setup » Services. This will bring up the services list.

2 Double-click in the list. This will open the Label Template editor window.

4 Enter the name of the label.
5 Enter the information into the various fields.
Labels across page refers to the number of labels to be printed on the same line, in the width of the page.
From top of page and Page refer to the top and left margins, respectively.
Width refers to the space between labels on the same line.
Between refers to the space between lines of labels.
The In and Cm options control whether the units entered are treated as inches or centimeters.
6 Click
when done.
1 Choose Administration » Configuration » Setup » Providers. This will bring up the providers list.
2 Select the provider to modify from the list.
3 Click
in the toolbar.
4 Change the provider's name.
5 Click

1 Choose Administration » Configuration » Special » Appointment Setup » Preferences. This will bring up the Appointment Log Setup window.
2 Click
in the toolbar.
3 Change the times listed as Start and Finish.

to save your changes.

3 Change the setting under Units.
For example, setting this function to Ten will allow appointments to be booked at ten-minute increments.

Calendar Pictures button in the toolbar. This opens up the Calendar Pics List window.
3 Double-click in the list. If you are editing an existing picture, then double-click on the picture that you wish to edit. This will open up the Calendar Pictures window.
4 Click on the
button in the toolbar. If you are editing an existing picture, then click
in the toolbar.
5 Type in a name for the picture.
6 To enter the graphic itself, there are several methods.
Paste it in from the clipboard if you have copied it previously. Otherwise, switch out of MIRROR and into whatever graphics program displays the graphic and copy it. Then switch back into MIRROR and paste it.
OR
Choose Paste From File... from the
menu. In the resulting dialog box, choose a graphic file to import.
7 Once the picture is in place, click on the
button.
1 Select Administration » Configuration » Special » Appointment Setup » Operators.
This will bring up the Operator window.
2 Click
in the toolbar.
3 Enter the operator's name and any notes into the fields.
4 Click
when done.
1 Select Administration » Configuration » Special » Appointment Setup » Create Appointments.
This will bring up the Create Appointments window.
2 Select the operator for which to create new appointment schedules. To create new schedules for all operators, check the All option.
3 Enter the dates to create appointments for into the Start Date and End Date fields.
4 Click Build Appointments in the toolbar to begin.
1 Select Administration » Configuration » Special » Appointment Setup » Block Appointments.
This will bring up the Block Appointments window.
2 Select the operator for which to block appointments. To block appointments for all operators, check the All option.
3 Enter the time during which the selected operator(s) are not available for appointments into the Start Time and End Time fields.
4 Enter the date period for which to block the appointments into the Start Date and End Date fields.
5 Specify the frequency of the appointments to be blocked with the Increment option. This is how often the specified time period will be blocked during the time period.
For example, checking Daily will block the time entered every day of the date period, while Weekly will block it every week during the period.
6 Enter the purpose for the block into the Comment field.
7 Click
Block Appointments in the toolbar when done.
The operator(s) will have whatever text entered in the Comment field in the specified times during the specified date period.
1 Choose Administration » Configuration » Special » Tax Table. This will bring up the Tax Table menu in the menu bar.
2 Choose Table Listing from this menu. This will bring up the Tax Table window.
3 Double-click in the list area of this window. This will bring up the Tax Table Input window.
4 Click
in the toolbar of this window to begin a new tax table.
5 Enter the information into the appropriate fields.
6 Click
in the toolbar when done.
Choose Administration » Configuration » Special » Office. This brings up the Office window.
Click
to change the information displayed.
