Click on the
button to bring up the following window:
Click on the
button on the toolbar to start a new ledger. First, the program will prompt for the dentist to which the ledger is assigned. Next, the guarantor and fee guide prompts will appear.
GENERAL INFORMATION
Click on the word Family and select the patient's name from the list presented to associate the patient to the ledger. This can also be used to select other patients (most likely the current patient's family) to be associated with the ledger. Other person(s) associated with the current ledger are listed under Family. (For more information about assigning more than one patient to the same ledger, continue reading.) The patient's insurance information will appear under the primary and secondary Insurance fields.
The Active check will control whether the ledger is active, or currently in use. If it is unchecked, the ledger card will remain stored as Inactive. To view or restore an inactive ledger or patient record, see Archive Window under the Patient menu item.
FINANCIAL INFORMATION
There are three check boxes at the top of the window: Autobill, Active, and Interest. The Autobill check will indicate that the current ledger will be billed in the automatic billing function in the Accounts Receivable function in the AR menu. Check this box if the current ledger is to receive automatic bills on every active financial plan at the end of each month. Otherwise, leave this check box blank. (For more information about automatic billing, see Autobill under the Accounts Receivable function in the AR menu.)
The Interest check box will determine whether interest charges will be made automatically to the ledger card's outstanding amount by the Accounts Receivable function. If checked, then clicking on the Interest button in the Accounts Receivable window will charge this ledger with interest automatically. Otherwise, this card will be overlooked when interest charges are made. (For more information about interest billing, see Interest under the Accounts Receivable function in the AR menu.)
The current balance of the ledger will be calculated based on the data in the next series of fields. These fields refer to the amount of money owed by the ledger, measured in time relative to the current date. For example, Current refers to funds owed in the current month, 30 to 60 refers to any amount owed since thirty to sixty days ago, and so on. These fields are described in detail in EDITING A LEDGER CARD further on in this section.
FURTHER INFORMATION
Notes or comments about the ledger can be entered into the field on the lower left.
A list of transactions associated with the ledger will appear in the middle field. Each transaction is listed, along with the type and funds credited or debited to the ledger.
Details on the selected transaction in the middle field appear on the bottom right. For example, if the selected transaction is an invoice, then the service(s) performed will be listed in this field.

Patient ledgers are electronic records of payment and debt.
More than one patient can be assigned to a ledger card. To do so, click the
button in the patient's ledger list window.
To remove a patient from a ledger card, select the ledger to remove the chosen patient from in the ledger list window. Then, click the
button in the toolbar.
You can enter invoices, payments and lots of different financial information into a patient's ledger card.
