This menu item will create the AR menu in the menu bar. Use this function to track the income of the office from the various patient ledgers.
Postdated Cheque Log
This presents a list with all post-dated cheques received from patients. Simply click on a cheque and click the Clear button in the toolbar (it is the only button) to clear that cheque and remove it from the list. After clearing a cheque, be sure to clear the payment in the patient's ledger. This is the listing window.
Daily Transactions
The log of daily transactions (see screenshot below). This will allow you to view all invoices processed by the office as a list.
The button for posting the invoices is at the top of this window:
. Use this button to post the invoices and record the totals into the database. Totals from posted invoices will be used to calculate earnings in the financial reports generated by the program.
Accounts Receivable
This menu item produces the following window.
In the middle of the resulting window, there is a list of all patient accounts that currently owe money. The list also details the periods over which the money was owed. Under the Current heading, the money owed the current month is listed. Likewise, under the 30-60 heading, the money owed from between 30 to 60 days ago is listed. The total money owed by an account is also listed.
The list can also be sorted by setting the Sort Keys and then clicking on the Sort button in the toolbar (see below). To set the sort keys, change the fields under the word Sort in the bottom of the window to set the sort criteria.
Use Filter to control which accounts are displayed in the list. Use All accounts to display all patient accounts. Use Balance > 0 to display only accounts that have a balance owing greater than zero (i.e. only accounts that actually owe money). Use Social Service to display all [Social Service] accounts. After changing the filter criteria, click on the
Build List button in the toolbar (see below).

This is the Autobill feature. It is used to automatically generate an invoice in each patient's ledger card for any outstanding financial arrangements.
For example, if a certain ledger has a financial arrangement for the payment of fifty dollars per month, autobilling will cause that account to be served with an invoice for fifty dollars marked, XXXXX Autobill. Note that for an account to be automatically billed, both the account and the financial agreement must be marked as Autobill (in the ledger) or Active billing (in the agreement itself). |

This button is used to age all accounts by a period of one month (thirty days). Use it at the end of each month to cause the amount owing for each time period to be shifted to the next time period.
When this button is pressed, there will be a dialog asking to specify which time periods to age. Leave the setting at All to age all time periods, or change it to another interval to age only the amounts in the specified interval. For example, an account with $140 owing under the Current heading will have $140 owing under 30-60 after aging accounts. An account with $140 owing under the 30-60 heading will now have that amount owing under 60-90. |

Use this button to automatically charge all accounts with interest. The interest charged is based on the rate set in AR » Interest. The interest charges will be reflected in the new totals. |

This button will print the selected entry in the Accounts Receivable list in the form of a statement. |
This menu item will bring up a list of the active orthodontic financial plans. These are listed as Ortho Estimates in a ledger card entry. Double-click on an entry in the list to display the associated ledger card.
In the window, click on the Sort button to sort the list displayed based on the sort key specified in the Sort options.
This will present a list of all financial arrangements that are still being paid by patients. Double-click on an entry in the list to display the associated ledger card.

Use this menu item to generate a report containing all invoices received by the office. First, select the interval in which the program will collect data. Then click on OK to generate the list.
From this menu item there are four sub-menu items. Each performs a similar function. Invoices, procedures, payments or adjustments can be listed in a summarizing list window. First, after selecting any item from the four, enter the dates to begin and finish compiling the list. Then, a list window will appear. Depending on which type of report was selected, the list will display a certain type of transaction.
INVOICES
This is a list of all invoices: invoices for procedures, invoices generated by the automatic billing system, interest charges and postdated cheques will show up on this list. [Filter] [Graph still somewhat buggy]PROCEDURES
This will present a list of all procedures performed between the two specified dates. [Filter]PAYMENTS
Any transaction entered as a payment from a patient will show up on this list. In addition, this list will show post-dated cheques.ADJUSTMENTS
Any financial adjustments will show up on this list, whether they are credit or debit.
Use this to display the financial totals for this month and up to date this year. Note that the totals displayed only reflect the posted transactions.
Link Accounts
This brings up a list of bank accounts that are used by the office (see screenshot below).
Click on the
button to enter information into this window. When complete, hit the
button.
Use this to change the annual interest rate on the outstanding amount in patient ledgers. This rate is used in calculating the interest charges from the Account Receivable menu item.
