First, select the account to reconcile. For a list of all accounts used by the general ledger, enter 1 into the account number field and press the tab key.

After entering the account number, a window will appear asking for the dates to limit the listing to. Enter the two dates; any transaction involving the chosen account that occurred between those two dates will appear in the list. This is the list window.

The dates of the last and new statements will appear, along with the balances of the account. The last date and balance refer to the balance of the account when the last statement was received from the bank. The new date refers to the most recently received statement. These numbers can be edited by clicking on the Edit button in the toolbar. The list itself is in the large field in the middle of the window.

Select invoices from the list to clear. These selected invoices will be used in the calculation of the new balance. Hold down the shift key and click to select multiple items from the list, or hold the command key and click to toggle an item in or out of the selection.

Clicking on the Calc button will cause the program to calculate the new balance of the account. This is done by taking the old balance and adding or subtracting the amount in each invoice. The Calc button brings up this window.

Scrn: Reconcile Balance

The Last Balance corresponds to the balance of the account according to the last statement from the bank. The New Balance is the balance according to the most recently received statement. The hilited Calculated Balance field is the new balance as it has been calculated by the program. The Difference is the amount that the New Balance and Calculated Balance differ by. Click on the Update button if the difference is zero. Updating the account will cause the balance recorded in the program to reflect the new balance.
