WORKING WITH PATIENT RECALL

VIEW THE PATIENTS LIST

Select Patients from the MIRROR menu. This will display a list of all active patients.

OR

In the Patient Recall Entry window, click on the button in the toolbar.

 

ENTER A NEW APPOINTMENT

1 First, bring up the Patients window and click on the Calendar button.

2 Next, in the calendar, select the operator from the Operators list and double-click on the day of the appointment in the calendar. This should bring up the daysheet for that day. If the program asks you if you want to create a daysheet for that day, answer yes.

3 Click on the time of the appointment and then click on the date at the top of the daysheet window. Note that if the appointment spans more than one time unit, you should drag across as many units as required to select them all.

4 This will bring up the appointment window. Click New to enter a new appointment.

5 Fill out the form and click on Confirm to set the appointment.

 

DELETE AN APPOINTMENT

1 First, get to a daysheet containing the appointment.

2 Then, select the appointment to delete and bring up the appointment editing window. Note that if the appointment spans more than one time unit, you should drag across as many units as required to select them all.

3 Once in the window, click on the Erase button in the bottom left corner to delete the appointment.

 

CHANGE THE TIME OF AN APPOINTMENT

1 First, get to a daysheet containing the appointment.

2 Then, select the appointment to delete and bring up the appointment editing window. Note that if the appointment spans more than one time unit, you should drag across as many units as required to select them all.

3 Once in the window, click on the Erase button in the bottom left corner to delete the appointment.

4 Then, click on the new time of the appointment and bring up the appointment info window. Note that if the appointment spans more than one time unit, you should drag across as many units as required to select them all.

5 Click on the Paste Appointment button, next to the Delete button. This will paste in the appointment information.

6 Click on the Confirm button to finalize the move.

 

LIST ALL RECALL PATIENTS

1 Choose Administration » Planned Treatment » Recall.

This will open the Select recall: window, which will allow you to quickly view all patients who are to be notified of their recall.

2 To see which patients are to be notified on any date, either click on the Call heading in the list or select Call date from the Rebuild... menu on the bottom left of the window.

Both will cause the list to be sorted by the date to apprise the patient of their next appointment. All patients who should be notified on a certain date will be grouped together.

3 Double-click on an entry in the list to bring up the recall information for the selected patient.

 

VIEW A LIST OF ALL ACTIVE TREATMENT PLANS

Choose Administration » Planned Treatment » Treatment Plans.

This will bring up the Active Treatment Plans window, which lists all active plans. The individual entries can be sorted by clicking on the heading to sort by.

To view specifics on a certain case, either double-click on the item or choose it from the list and hit Select.

The Total column indicates how much the plan, including all procedures involved, will cost.

The Remaining column shows the cost of all the procedures that have yet to be completed.

The sum of the Total column is shown in the Total field at the bottom of the window, and the sum of the Remaining column is shown in the Remaining field.

 

VIEW HOW OFTEN PROCEDURES ARE USED IN TREATMENT PLANS

1 In the Active Treatment Plans window, click on the second button from the left.

This will open the Tx Plan Analysis window.

2 Enter the dates to begin and finish counting into the Start Date and End Date fields.

3 Choose which provider's procedures to count (leave the field set to All to count every provider's procedures).

4 Once this information has been entered, click Start to begin counting.

When complete, the number of each type of procedure performed will appear under each heading. Under this number is the total charge for all procedures of this type.

For example, if the numbers 102 and 10231 appear under the General heading, then there were 102 general type procedures performed within the dates specified. The total charge for those procedures was $10231.

The total income from procedures performed in the specified interval appears under Total Amount.

 

VIEW A MORE DETAILED BREAKDOWN OF PROCEDURES USED IN TREATMENT PLANS

To obtain a list of every single procedure performed, the number of times it was performed and the cost of the procedure, click the Detail button in the Tx Plan Analysis window.

If you wish to view a breakdown of only procedures of a single type, click on the heading that corresponds to the type. For example, to view a list of every single procedure involved in the time period that would be classified as miscellaneous, click on the Misc heading in the list.

 

FIND OUT HOW MUCH INSURANCE REMAINS IN A TREATMENT PLAN

To display the amount of insurance a patient has remaining to pay a treatment plan with, click on the rightmost button in the toolbar of the Active Treatment Plans window.

This opens the Unused Insurance Benefit Analysis window.

In this window, each patient with an active treatment plan is listed, along with the amount of insurance coverage they have left and the amount remaining in their treatment plan.

 

FIND OUT HOW MANY PATIENTS HAVE MORE THAN X DOLLARS LEFT IN A TREATMENT PLAN

1 In the Unused Insurance Benefit Analysis window, enter the minimum amount that an entry must have to be displayed into the Min. Tx. Plan field (the X amount mentioned in the title).

2 Click Build List in the toolbar.

 

FIND OUT HOW MANY PATIENTS HAVE MORE THAN X DOLLARS OF INSURANCE LEFT

1 In the Unused Insurance Benefit Analysis window, enter the minimum amount that an entry must have to be displayed into the Min. Insurance field.

2 Click Build List in the toolbar.

 

DISPLAY THE LETTER TO REMIND PATIENTS OF REMAINING TREATMENT

In the Unused Insurance Benefit Analysis window, click on the second button from the left in the toolbar. This will open the letter that will be sent.
